Reaching out to publishers: guide and message templates

To recruit a publisher, you message them from Affilae or by email, and they then apply to your program. This guide shows you which tool to use in each situation, and gives you three message templates to adapt: the first message, the follow-up and the partnership offer.

Prerequisites: your program page is written (step 1), your promotional materials are ready (at least some visuals or a discount code), and you’ve qualified the publisher: you know what they publish, and for whom (step 2).

Where to contact a publisher

The right tool depends on where you found the publisher, and on their relationship with your program.

SITUATION TOOL WHAT YOU CLICK WHAT THE PUBLISHER GETS
A publisher suggested by Match AI Match AI, in the sidebar On their profile, Contact, then in Send a message: Select a program, Your message, Send An email titled “New message from [your program]”, with a View message button
A publisher found in the Marketplace directory Marketplace > Publishers discovery The Contact envelope on their row, or the Contact button on their profile. For several profiles: the + (Mass contact) on each row, then the Bulk button followed by the number selected The same email, without your text
An application or an existing partner Programs > your program > My affiliates, or Messaging The Contact envelope on their row. For several partners: Messaging > New message, filters Group, Status, Active: one message goes to every partner you check The same email; the conversation continues in their Messaging
A publisher who isn’t on Affilae My affiliates > round + button, or your own mailbox Invite an affiliate by email: Language of the affiliate, Email, Message (500 characters max), then Submit. Or an email from your own mailbox, with your program page link An invitation that includes your message, with an Apply button to your program page. Or your email, as is

There’s no “offer a partnership” button: you message the publisher or invite them, and they apply from your program page. Their application then shows up in My affiliates, with the Pending status if you approve affiliates manually (the default setting).

Good to know: if a publisher suggested by Match AI has no manager on Affilae, Contact opens their website. Email them instead, with your program page link, which you’ll find in your program’s Configuration, Program communication block. The link works even if your program isn’t listed yet.

Two app constraints that change how you write

Match AI and Marketplace
400 characters, no attachments
Your first message is limited to 400 characters, spaces included, and can’t carry a file. A counter shows under the field, and line breaks don’t count. That’s why every first-contact template comes in a short version.
Every in-app message
No subject line: the publisher has to click
The “New message from [your program name]” email doesn’t include your text: the publisher clicks View message to read it. So your program name and your program page do the job of a subject line: polish them (step 1). The subject lines below are for emails sent outside Affilae.

What gets a publisher to reply

Six rules that apply to every template in this guide. They’re best practices from the field, not app constraints.

1Show you’ve read their work
Mention an article, a video or a recent post, and say what you liked. In Match AI, the Why this match? section gives you a lead.
2Talk about their audience
Say what their readers or followers get out of it: a useful product, a discount, a content idea.
3Make a clear offer
Commission, discount code, materials: the publisher should understand your offer in a single read.
4Ask one question
End with a simple question they can answer with a yes or a no: “Want me to send you our picks?”
5Sign as a real person
Give your first name and your role. A message signed “the partnerships team” reads like a mass mailing.
6Pick the right tone
Stay professional with a media outlet or a website. Creators often expect a casual tone: match the way they talk to their community.

Template 1: the first message

Use the short version in Match AI and the Marketplace, and the email version outside Affilae. Replace each [placeholder], then read your message out loud. The character count shown includes the placeholders as written: once your own words are in, trust the app’s counter.

Template 2: the follow-up

No reply after 5 to 7 days? Send one follow-up, in the same conversation, with a new angle: a key moment (spring, Mother’s Day, Black Friday), something new or a limited-time offer. Never blame them for the silence: your first message may simply have slipped through.

Hi [first name],

Quick follow-up with some news: our [name] collection launches on [date], just before [key moment].

To celebrate, I can set aside a [15%] off code for your readers, valid for [two weeks].

Hi [first name],

I’m following up in case my message from [date] got buried in your inbox.

Our [name] collection launches on [date], just before [key moment]. To celebrate, I can set aside a [15%] off code for your readers, valid from [date] to [date].

If the timing isn’t right, just let me know: I’ll get back to you [in the fall] with our [holiday] picks.

Have a great day,

[Your first name], Home & Garden

Template 3: the partnership offer

The publisher replied and wants to know more: make them a concrete offer, with numbers and dates. You’re now writing in Messaging, with no length limit, and you can attach a file there, such as your brand presentation.

In Messaging or by email
Subject (by email): Our offer for [their site name]

Hi [first name],

Thanks for getting back to me! Here’s what I’d suggest to get started.

Your commission: [10%] on every sale, [then 12% from 20 sales a month].

Your discount code: [CODE], [15%] off for your readers, exclusive to your site.

Your materials: [banners, lifestyle photos, product feed], available in your Affilae account as soon as your application is accepted.

Our approvals: we approve sales [every month].

A [two-month] trial, then we review your results together.

Next step: [I’ll send you an invitation to join our program] or [apply from our program page: link]. I’ll approve your application as soon as it comes in.

Looking forward to working together,

[Your first name], Home & Garden

Each line of this template is an option: keep the ones that fit your goal and your budget. You can offer a rate just for them, an increase for a key moment, a dedicated discount code, a bonus or visuals, set up once their application is accepted. A custom rate doesn’t show in the “Up to” commission on your program page: your message is what announces it.

Don’t promise any payment timeline: only announce what you control, such as how often you approve sales. To fine-tune your offer, see step 4.

The right pace

Here’s the schedule we recommend. It’s not an Affilae rule, just a pace that keeps you on the publisher’s radar without annoying them.

Day 0
First message
Template 1, short or email version
Day 5 to 7
One follow-up
Template 2, with a new angle
Day 14
A last message
Short, door left open
After that
You move on
Try again at the next key moment

The last message stays short and leaves the door open:

In the app, 400 characters
Last message, around day 14

Hi [first name],

I don’t want to crowd your inbox, so this will be my last message. If you’re ever interested, our program stays open to you: [link to your program page].

All the best!

Adapting to each type of publisher

The six rules still apply, but each type of publisher looks for something different: keep the template’s structure and adapt the sentence that carries your offer.

PUBLISHER TYPE WHAT THEY CARE ABOUT THE LINE TO ADAPT
Content creator (Instagram, TikTok, YouTube) A product to show, creative freedom, a code with their name “I’ll send you [product], and you present it your way, with your code [CODE].”
Blog or media outlet An article topic, reliable product information, visuals “Our [product] would fit right into your guide on [topic]: want the product sheet and photos?”
Coupon site Exclusive codes and your calendar of key moments “We can set aside an exclusive [15%] off code for [key moment].”
Comparison site A complete, up-to-date catalog, in other words a product feed “Our product feed covers [number] products, with up-to-date prices and stock.”
Email marketer Pay that fits their channel (per lead, for example) and a ready-made email kit “We have a ready-to-send email kit and a [per-lead] commission for your [target] list.”

After the yes

The publisher has applied: four steps get the partnership off to a good start.

  1. Accept their application. In My affiliates, click the pencil next to the Pending status, choose Approve, select the Affiliate group, then confirm with Accept. Choose the group carefully: moving a partner to another group later erases their custom rates.
  2. Give them their tools. Create their dedicated discount code, send them a tracked link to the right page with Create a link, and check that your visuals are online. Details in step 5.
  3. Track their first results. The Reporting icon on their row opens their stats, and the Is active? column tells you whether they’ve generated more than 10 clicks in the last 30 days.
  4. Stay reachable. Answer their questions quickly in Messaging, and give them a heads-up before your key moments.

The publisher isn’t on Affilae? Send them the invitation, or create their profile yourself with Create an affiliate profile: the partnership is then Approved right away, and the publisher gets an email to complete their profile. See Quickly add an affiliate to your program.

Good outreach habits

Tip: Affilae doesn’t store your message templates. Keep them in a separate document, and only rewrite the first sentence each time: that’s the sentence that proves you’ve read the publisher’s work.
  • Write less, but better. We recommend ten personalized messages over a hundred identical ones.
  • Save Mass contact for a consistent group: same category, same profile type, and a message that holds true for each of them.
  • Keep track of who you’ve contacted. In the Marketplace, filtering on Not contacted keeps you from writing twice to the same publisher.
  • Reply the same day when a publisher writes back: their interest fades fast.

Three outreach examples

Home & Garden and a gardening blog. In Match AI, the partnerships manager spots a blog about balcony vegetable gardens, and sends the short version of template 1, mentioning its article on raised planters. Six days later, she follows up with her summer collection and a 15% off code valid for two weeks. The blogger replies, gets template 3 and applies.

An organic skincare brand and content creators. In Marketplace > Publishers discovery, the brand filters on its category and its country, then picks eight creators whose tone is close to its own. It sends them the casual version with Mass contact, without mentioning a specific post since the message is shared. It then follows up one by one with those who didn’t reply.

An online invoicing tool and a comparison site. The brand finds a software comparison site on Google that isn’t on Affilae, and writes to it from its own mailbox with the email version of template 1. The site would rather be paid per signup: the brand offers a per-lead commission, then invites it with Invite an affiliate by email. The site clicks Apply, and its application shows up in My affiliates.

4Next stepMake them want to promote you

Yes: Contact on their profile in Match AI, or Contact and Mass contact in the Marketplace, with 400 characters max and no attachment. If they aren’t on Affilae, invite them from My affiliates with Invite an affiliate by email, or write to them from your own mailbox.

No. They get an email titled “New message from” followed by your program name, with a View message button: they have to click to read you. They get at most one email every 15 minutes per conversation, and they can turn these emails off. Only the invitation sent from My affiliates includes your text; if they reply to it, their reply goes to your program manager’s email address.

We recommend a single follow-up 5 to 7 days after the first message, then at most one short last message around day 14. After that, move on to other publishers, and come back to this one at your next key moment if you like.

Stay professional with a media outlet, a blog or a website. Many content creators talk to their community casually and expect the same from you: match the tone of their posts. When in doubt, start formal, and follow the publisher’s lead if they switch to a casual tone.

Yes, from Messaging > New message: choose your program, filter your partners by Group, Status or Active, then check them. One message goes to every partner you check. For publishers who aren’t partners yet, use Mass contact in the Marketplace.

A flat fee pays for a service (an article, a dedicated email send), regardless of the number of sales. If you agree, add it manually from your program’s Conversions page: + button, Add a commission, then set Commission type to Fixed fees. The steps are in our French-language article on adding a commission manually. We recommend pairing it with a commission on sales.

Not to the first message sent from Match AI or the Marketplace: put your program page link in it instead. In Messaging, you can then attach one file per message (image, doc, docx, pdf or zip, 10 MB max), such as your presentation.
