Tax Form, Businesses

The tax form (DAC7) is completed in your publisher account and conditions your payment requests. This page walks you through the journey of a legal entity, step by step: company, association or self-employed.

Prerequisites: only the account owner can complete this form, and it appears only if your country is in the European Union. Have at hand your exact entity name, its tax identification number (SIREN in France), its VAT number, its postal address and its IBAN.

The « Form (DAC7) » menu, under « Regulatory Declaration » in the « My account » panel.
  1. At the bottom of the sidebar, under My account, click your user card to open the My account panel.
  2. Under Regulatory Declaration, open Form (DAC7).
  3. As long as your form has not been submitted, it opens straight on its first step, Status. Once submitted, the Profile Selection – DAC7 Form page opens instead, with the Profile Form list.

You can also get there from the banner Complete your tax information to unlock payments (regulatory requirement), by clicking Access form.

Step 1, choosing « I am a legal entity »

The first step is called Status. The Select your status to continue screen offers two cards. The choice you make here drives the rest of the journey, so take a moment to read both descriptions.

  1. Click the I am a legal entity card. Its border turns purple to confirm the selection.
  2. Click Next.

Your journey then has four steps, shown in the tracker at the top: Status, Tax information, Payment information and Legal declaration. The Personal information step, reserved for individuals, does not appear: the form asks neither your date of birth nor your home address.

The « Tax information » step of the legal entity journey, with fictional sample data.
  1. Open the Business entity list and pick the matching value: Company, Association or Self-employed.
  2. Enter the Company name exactly as it appears on your official documents.
  3. Pick your Tax residence country. Only European Union countries are offered in the list.
  4. Enter your tax identification number. The field is labelled SIREN when the tax residence country is France, and TIN for other countries. In France, the SIREN has 9 digits. The Consult TIN documentation link details the expected format country by country.
  5. Enter your VAT number. If you do not have one, tick I don’t have a VAT number and/or I am not subject to VAT: the field turns grey and is no longer required.
  6. Under Address of your company, fill in Company address, Postal code, City and Country.
  7. Click Next. Affilae validates the address before saving.
Good to know: the tax identification number is required in every case, except for an Association that has ticked I don’t have a VAT number and/or I am not subject to VAT. In that single combination, the field becomes optional.

Self-employed, which card should you pick?

This is the most frequent question, and the interface answers it directly. The I am a legal entity card carries the description Select this option if you represent a company, an organization or if you are self-employed. The Self-employed value exists only in the Business entity list, in other words on the legal entity path.

So if you operate as a self-employed worker, pick I am a legal entity, then Self-employed under Business entity. This choice has a direct effect on your payments: in some countries, including France, Belgium, Guadeloupe, Martinique, Reunion and Madagascar, the individual status does not allow you to create a payment request.

Step 3, payment information

This step asks for two fields only, both required. These are the bank details your commissions will be paid to.

  1. In Account Holder Full Name, enter the exact holder of the bank account, here your entity name.
  2. Paste your IBAN, with no typo. An incorrect IBAN returns the message Invalid IBAN.
  3. Click Next.

Step 4, legal declaration and final submission

The last screen lists the terms you accept by submitting the form, under the heading By submitting this form, you agree to the following terms. Read them, then tick I declare on my honor that the information provided is accurate and complete. The Submit button stays inactive until the box is ticked.

Warning: submission is final. A window titled Please double-check your information before submitting warns you that your tax and legal information will be considered final and shared with the tax authorities, and that you won’t be able to edit this data yourself after submission. Use Cancel to go back and fix a value, Confirm to submit.

Checking that your form is completed

After Confirm, the Form successfully submitted screen states Your form has been successfully submitted and It will now be reviewed. Close it with Close.

Then go back to My account, Regulatory Declaration and Form (DAC7). In the Profile Form list, your account row must carry the Completed chip. The two other possible values are In progress and Not completed.

Once submitted, the form turns « Completed » and the button becomes « View form ».

The Access form button becomes View form. When you open it, you will see the notice View mode: you can navigate through the form but cannot modify any information. Use Back to list to leave.

What completing this form gives you

  • Your payment requests become possible again: the blocking banner and the Complete your legal information to receive a payment window disappear.
  • The legal entity status avoids an extra block in countries where the individual status prevents payment requests.
  • One entry for several profiles: if you manage associated profiles, the Use my main account information option reuses the data you already entered.
  • You do it once: after submission the form turns read only, with no reminder and nothing to type again.

Good practices before you submit

  • Take out your official documents and copy the Company name character by character, with no abbreviation or approximate trade name.
  • Check that the Tax residence country and the address Country are consistent with each other.
  • Make sure the Account Holder Full Name matches the actual holder of the IBAN you entered.
  • Tick the VAT box only if it describes your situation, because it makes the VAT number field unusable.
Tip: enter your company address exactly as it appears on Google Maps. That is the reference used by the validation, and it avoids the Invalid address message when you move to the next step.

Three concrete situations

  • A company running a content website. Business entity Company, the company name, France as tax residence country, the 9 digit SIREN, the intra-community VAT number and the registered address.
  • An association not subject to VAT. Business entity Association, with I don’t have a VAT number and/or I am not subject to VAT ticked. In that specific case, the tax identification number is no longer required.
  • A self-employed creator. The I am a legal entity card, business entity Self-employed, then the SIREN of the business and its professional IBAN.

This is not cosmetic: in France, Belgium, Guadeloupe, Martinique, Reunion and Madagascar, the individual status does not allow you to create a payment request.

That is expected. The legal entity journey has four steps: Status, Tax information, Payment information and Legal declaration. The Personal information step, which asks for first name, last name, date and place of birth and postal address, belongs to the individual journey only.

The information about you is therefore limited to the entity: name, tax residence country, tax identification number, VAT number and address.

Select Association under Business entity, then tick I don’t have a VAT number and/or I am not subject to VAT. The VAT number field turns grey and is no longer required.

This is the only combination in which the tax identification field (SIREN in France, TIN elsewhere) also becomes optional. In every other situation that number stays required, otherwise the app shows « SIREN is required. » or « TIN is required. »

Read the message shown, it names the field to fix. « The tax identification number does not match the expected format for this country. » points to a format issue, and so do « Invalid TIN », « Tax ID number is too long » and « Tax ID number is too short ». In France, the SIREN has 9 digits.

On the VAT side, the possible messages are « Invalid VAT number », « VAT number is too long » and « VAT number is too short ». The Consult TIN documentation link under the field gives the expected format per country. If the block persists after checking, write to support@affilae.com.

Affilae validates the address before saving the step. The full message is « Invalid address (verify address, city and/or postal code – Your address must be the same as the one displayed on Google Maps) ».

Open Google Maps, search for your address and copy it as it is displayed, including the street abbreviation and the postal code. Also check that the address Country field matches the real country of the entity.

Not on your own. After submission the form turns read only and shows « View mode: you can navigate through the form but cannot modify any information ». The confirmation window warns you that your data will be considered final.

Open the form with View form to note the exact wrong value, then write to support@affilae.com stating the field concerned and the correct value.
