How to Compensate for a Tracking Issue on Affilae?

You have noticed a tracking problem and some conversions from your affiliates or influencers were not recorded? Do not panic.

This page gives you the method to estimate the missing commissions, then assign them in a few clicks as a bonus, so you maintain a relationship of trust with your partners.

Before you start: to calculate the compensation you need three figures. The number of clicks generated by the affiliate over the period, your site’s average conversion rate and its average order value.

What to do when tracking fails

A tracking incident can lead to partial or total loss of conversion data. Our teams are available to help you resolve the technical problem.

In parallel, it is just as important to compensate your affiliates, so you keep them motivated and engaged in your program.

Estimating and assigning the missing commissions

We recommend these steps to calculate a fair and transparent compensation.

  1. Project the number of sales that should have been tracked. Multiply the number of clicks generated by the affiliate by your site’s average conversion rate.
    Example: 1,000 clicks x 2% = 20 estimated sales.
  2. Calculate the revenue that should have been generated. Multiply the estimated number of sales by your site’s average order value.
    Example: 20 sales x €50 = €1,000 estimated revenue.
  3. Determine the commissions owed. Multiply your program’s commission rate by the estimated revenue.
    Example: €1,000 x 10% = €100 commission.
  4. Assign the commission. Add the calculated amount as a bonus directly in your Affilae interface, as described below.

Adding the bonus in your interface

  1. In the sidebar, open Manage programs, then click your program name.
  2. Click Conversions.
  3. Click the + button at the top of the page. The Add a commission panel opens on the right.
  4. Select the Partnership to compensate.
  5. In Commission type, select Bonus.
  6. Enter the calculated amount in the Bonus field.
  7. Fill in the Commission date and, in Comment / Reason, the reason for the gesture.
  8. Check the Initial status, then click Add commission.

Tip: always fill in the Comment / Reason field, for example « Tracking incident compensation, March ». That comment appears next to the ID in the conversion list: your partner understands where the amount comes from, and you can trace the gesture six months later.

Why compensate your affiliates

Compensating your affiliates or influencers shows that you value their work and trust. By taking this proactive step, you strengthen your relationship and encourage them to keep promoting your brand.

Best practices

  • Tell the affiliate before you add the bonus, and give them the period concerned and the calculation method you used.
  • Apply the same calculation to every partner affected by the incident, so the gesture stays fair.
  • Create one bonus per partner and per period rather than a single global amount: it reads more clearly in the conversion list and in the payments.
  • Fix the technical cause in parallel. A bonus compensates the past, it does not repair the tracking.

Multiply the number of clicks generated by the affiliate over the period by your site’s average conversion rate. For example, 1,000 clicks x 2% gives 20 estimated sales. You then apply your average order value, then your commission rate.

Open Manage programs, click your program, then Clicks. Filter on the partner and on the period of the incident to get the volume to use in the calculation.

The Bonus type. It lets you add a commission of any amount to your partner, without tying it to a specific sale. You select it in the Commission type field of the Add a commission panel.

Yes, within a limit. The tooltip on the Commission date field states that you can backdate a commission up to 2 months before today. Beyond that, enter today’s date and state the period concerned in Comment / Reason.

It is strongly recommended. A partner who is informed, and to whom you explain the calculation, understands the gesture and stays engaged. An amount that appears without explanation raises questions instead, and sometimes a dispute.
